Leadership Summit 2023 – Frequently Asked Questions

Who can attend?

The Leadership Summit is an invite-only event open to current SETDA SEA (state and territory) members, affiliates, corporate members, strategic and channel partners, event sponsors, and invited guests. State and territory members have no limit on the number of attendees. Affiliates and partners are limited by their membership level or partnership type.

Emeritus members are invited to join us all day Tuesday, November 7, to engage in impactful advocacy discussions and attend the Annual Membership Convocation, Ed Forum, and the Tuesday evening field trip.

Is the Ed Forum and the Leadership Summit the same thing?

The Leadership Summit is an all-encompassing member and partner event.

The Ed Forum is our annual event-within-an-event designed to foster dialogue and collaboration among and outside the SETDA community. Invited guests include national experts, educational technology leaders, and thought partners in K-12 education. This focused event explores the full scope of digital transformation of policy and practice in K-12 education.

Ed Forum will occur on Tuesday, November 7, from 11:00 am – 5:30 pm ET.

How do I book my hotel room?

Hotel reservations can be booked at the SETDA group rate ($239/night) at the Arlington Renaissance Capital View through October 20 by using this link or calling Marriott Reservations directly at 703-413-1300.

How do I get there?

By Air: The nearest Renaissance Arlington Capital View Hotel airport is Ronald Reagan Washington National Airport (DCA). Washington Dulles International Airport (IAD) is 15-20 miles further.

What are the COVID protocols?

Registration

Do I need to register for the Leadership Summit?

Yes, all attendees need to register. By registering for the Leadership Summit, you will also be registered for the Ed Forum event.

When does registration close?

Regular registration closes on October 25 at 11:55 pm ET.

Late registration?

Late registration closes on October 31, 2023. A late registration process fee of $49 will be assessed should you have to use this option.

How do I register?

The SETDA Hub will be used for event registration. Log in using your email address as your username, and then look for Leadership Summit under the Events tab. Primary SEA and Affiliate members should have received a coupon code for registration via email. If you have any issues or need assistance, please contact Tera Daniels.

Can I substitute a registration or give my registration to a colleague for another day?

The simple answer is ‘No.’ See below for more details:

  • Conference attendees are not to exceed the number of registrations permitted per your organization’s membership, partnership, or sponsorship agreement.
  • Registration allotments cannot be transferred to another company without written permission from SETDA’s Director of Strategic Partnerships.
  • Conference name badge sharing is not permitted under any circumstance.

What is the state member travel support policy?

In an effort to ensure that each state or territory is represented at our annual in-person conference and business meeting, state membership benefits include travel support for one (1) SEA member from each state or territory in good standing to attend the Leadership Summit event. Per our current policy, SETDA will reimburse all reasonable and necessary travel expenses incurred for SETDA-related business travel, including airfare, transportation, lodging, and food.

Other Stuff

What is the dress code?

This is a professional event, so we recommend business or business casual attire.

We encourage attendees to wear their favorite tailgate or state gear for the Homecoming Reception on Sunday.

What should my expectations be for technology (read: do I need to bring a device)?

The SETDA community is a technology-forward organization, so we want to model that ethos. We have created a schedule responsive to all digital platforms, and we have asked our facilitators to share their resources digitally using a best practice method. We will also provide wifi access in meeting spaces. With this in mind, you should bring a digital device to consume most of what the Leadership Summit offers.

Corporate Member and Event Sponsor Details

Is there a registration fee for corporate members?

There is no registration fee required for current SETDA corporate members. SETDA’s corporate membership benefit packages include a limited number of complimentary registrations. Refer to your membership agreement or check here if you aren’t sure.

When does the event begin and end for corporate members and event sponsors?

Emerging Partners; Basic, Silver, Gold Corporate Members; and Event Sponsors: Conference activities begin on Sunday, November 5, with the Homecoming Reception from 4:30 pm – 6:30 pm ET. You may arrive any time after 2:00 pm ET for table set-up.

Platinum and Keystone Corporate Members: Conference activities begin on Sunday, November 5, with a lunch with Board Members (starting at 12:30 pm ET) and 90-minute focus groups starting at 3:00 pm ET.

Gold Corporate Members only: After breakfast, Gold corporate members have a 30-minute Ignite session on Wednesday, November 8. The focus groups will run concurrently from 8:30 am – 9:30 am ET. Following that, no other activities for Gold corporate members are scheduled that day, so plan travel accordingly.

All corporate members* and event sponsors are invited to sessions on Monday, November 6, and Tuesday, November 7. The event activities for all partners end at 5:30 pm ET on Tuesday, November 7.

*With the sole exception of the Platinum corporate members and Gold members’ Ignite presentations, all Wednesday, November 8 activities are for SETDA state and affiliate members only.

Where should corporate members and event sponsors send materials for their table at the Sunday afternoon Homecoming Reception?

Send your materials for a very simple tabletop exhibit (e.g., branded tablecloth, giveaway items, technology for demonstration of your solution) directly to the Renaissance Arlington Capital View Hotel.

Helpful Hints:

  • Schedule all boxes for delivery at the hotel by Friday, November 3rd at the latest! SETDA staff will store them securely for you. Please include all of the information on the SHIP TO label below.
  • Bring your tracking numbers so that if one of your boxes is missing, the hotel can help to find your package.
  • Bring a return label for every box you wish to mail back to your office after the event.

What is provided to corporate members and event sponsors at the Homecoming Reception?

SETDA Corporate Members and Event Sponsors should plan to set up their tables any time after 2:00 pm  ET on Sunday, November 5, and to tear tables down immediately following the reception at 6:30 pm ET.

Simple is best for these exhibits. See pic below for a 2022 Homecoming Reception example.

  • Two chairs

You may want to bring:

  • tabletop booth display
  • table banners or signs
  • tablet/computer and/or monitor for demonstrations
  • fun promotional items (plan for 150)
  • company and product literature
  • business cards

How can I find out more about event sponsorships?

SETDA offers a limited number of sponsorship opportunities at our hosted events. Sponsorship packages for the Leadership Summit are available on a first-come-first-served basis through October 1, 2023.
